Systems and automation

Connect your systems. Reduce manual work.

Integrations and AI-assisted workflows for the information your team moves, checks, and acts on every day.

Illustration of a systems integration built by Baybloom: a CRM, a field application, and accounting kept in sync, with a queue of failed records waiting for review.

Where we can help

From separate tools to connected work.

Integration

Connect CRM, finance, and operations.

Move information between the tools your business depends on. Define the source of each record, the direction of updates, and the rules that keep data consistent.

  • Customer and account synchronization
  • Order and work-status updates
  • Validation, retries, and reconciliation

Automation

Handle repeatable steps consistently.

Turn predictable work into a reliable sequence. A request can create a record, route an approval, and trigger a follow-up while keeping exceptions visible.

  • Rule-based routing and approvals
  • Scheduled processing and reminders
  • Operational exception queues

Applied AI

Make document-heavy work easier to handle.

Use AI where interpretation is useful: extracting information, categorizing documents, or preparing a draft. Evaluate the result against representative inputs before relying on it.

  • Document extraction and classification
  • Search across approved business documents
  • Reviewable summaries and draft outputs

How a reliable integration works

Every record has a path, including the ones that fail.

Records move from source systems through validation to the destination; failures go to an exception queue, are resolved by the responsible team, and re-enter the flow.CRMERP / financeField applicationValidate and mapDestinationException queueOwner resolvesvalidfailedreviewretry

Automate the task. Keep control of the result.

Reliable integrations

Decide what happens when an update fails.

A connection is more than an API call. Records can arrive twice, required information can be missing, and an external service can go offline.

We design retries, duplicate handling, and a visible path for unresolved exceptions. The team responsible for the process needs to know which records moved successfully and which need attention.

AI with a defined job

Start with a useful output, then test it.

“Add AI” is not a delivery scope. Extracting defined fields from a supplier document, with source references and a review step, is a task that can be evaluated.

We define the inputs, expected output, quality checks, and handoff. Rules-based automation handles predictable steps; AI supports the work that benefits from interpretation.

What we build

Software we build in this area.

CRM and finance synchronization

Integrations that keep customers, orders, and invoices consistent between the CRM and the accounting platform, with each record updated in one place.

Operational data pipelines

Scheduled or event-driven feeds that collect records from several tools into a reporting database the whole business can query.

AI-assisted document intake

Extraction of fields from invoices, forms, and correspondence, with confidence checks and a review queue for anything the model is unsure about.

Workflow triggers and notifications

Rules that start the next step automatically when a record changes, such as creating a job, alerting an approver, or updating a customer.

Exception queues and monitoring

A place where failed syncs, mismatched records, and rejected documents wait for a person, with the context needed to resolve them.

Connectors for older systems

Custom connectors for older or specialized systems without modern APIs, using supported exports, file transfers, or database access where appropriate.

Scope and price

What shapes the scope and price.

Every project is priced from a written scope. These are the factors that move it most.

How many systems connect

Every additional system adds an API, an authentication method, rate limits, and a data model to learn, map, and test.

API quality and access

Well-documented APIs keep integration work contained, while limited or undocumented interfaces require exports, workarounds, and more testing.

Data volume and frequency

Nightly batch transfers are simpler than near-real-time synchronization, and large volumes add work on performance, retries, and monitoring.

Review needs for AI steps

The consequence of an error sets how much evaluation, confidence checking, and human review each AI-assisted step needs before it runs.

Project questions

Before you build.

Decisions worth discussing before committing to a new application.

Does every automation need AI?

No. Rules, scheduled jobs, and conventional integrations are often the right tools for predictable work. AI is useful when interpretation or generation adds value and its output can be evaluated.

What if our systems have limited APIs?

We inspect the integration options before recommending an approach. Supported exports, scheduled transfers, or a smaller workflow change may be more practical than a fragile connection. Access and vendor constraints shape the scope.

How do we know the information is correct?

We define the source of truth, validation rules, and reconciliation checks. For AI-assisted steps, we use representative examples and a review process appropriate to the consequence of an error.

Can we start with a single workflow?

Yes. Choose a recurring task with a clear owner and measurable acceptance criteria. Connect it end to end, include failure handling, and evaluate it before expanding.

What happens when an integration fails?

Failures are expected and designed for. Each connection retries on a set schedule, logs what happened, and sends anything it cannot resolve to an exception queue with enough context for a person to fix it. Alerts reach the right person, and no record is silently dropped or written twice.

How do you choose AI models for document tasks?

We choose models per task, based on accuracy against representative examples, data handling terms, and running cost. The model sits behind a defined interface, so it can be replaced as better options appear, and every output passes through checks and review appropriate to the decision.

Where do the integrations run?

Integrations can run in a managed cloud environment, alongside your existing hosting, or within the automation features your systems already provide. We look at security requirements, access, monitoring, and who will support the environment before recommending where each piece should live.
